Resolving Stuck Workflows with the Admin Workflow Override Tool

Overview
In some cases, records in Brief Connect can become stuck in a workflow stage due to complex task assignments, role reassignments, or unexpected user actions. The new Admin Workflow Override tool allows administrators to manually progress a record through its workflow, bypassing normal task assignment logic. This is especially useful when:
- Multiple endorsers or role changes have left a record with no valid task mapping.
- Automated progression is blocked and normal users cannot proceed.
- Immediate intervention is required to keep business processes moving.
When to Use the Admin Workflow Override
Use this tool only when a record is stuck and cannot be progressed by normal means. Typical scenarios include: - Records assigned to multiple users, then reassigned, resulting in no active tasks. - Workflow logic errors or misconfigurations that prevent further action. - Emergency situations where admin intervention is required.
Prerequisites
- You must be an system administrator in Brief Connect.
- The feature flag
WorkflowAdminOverrideEnabledmust be enabled (contact your system admin if unsure).
Step-by-Step: Using the Admin Workflow Override
- Identify the Stuck Record

Navigate to the record that is stuck in the workflow (e.g., no available actions, cannot progress, or error messages about task mapping).

Open the "I Want To" Menu

As an admin, open the record and locate the I Want To menu (usually at the top or in the actions panel).

Look for "Workflow Override" Options
- If the override tool is enabled, you will see special options labeled
Workflow Override/...in the menu. -
These options allow you to progress the record to the next logical stage, even if normal task assignments are missing.

Select the Appropriate Override Action
- Choose the override action that matches the desired workflow progression (e.g., move to next stage, complete current step).

Review the dialog for any required information (comments, role selection, etc.).

Confirm and Apply the Override
- Complete any required fields and confirm the action.
- The record will be advanced to the selected stage, and normal workflow processing will resume.
Troubleshooting
- If you do not see the override options, ensure you are logged in as an admin and the feature flag is enabled.
- Use this tool with caution—manual overrides bypass normal workflow checks and should only be used when necessary.
- For persistent workflow issues, contact your system administrator or support team.
