Proxy Management
Brief Connect allows users to delegate access to their account to other users, who are referred to as "proxies". This is useful for situations where an executive may need an assistant to manage their records.
This document outlines how to manage proxy access and how the system handles expiring proxy assignments.
Note: It can take up to 30 minutes for changes to reflect in Brief Connect.
How it works
When a proxy is assigned to a user, they can filter the dashboard to their executives view and complete actions on their behalf.
Managing proxies
To find a list of proxies: - Go to the Brief Connect SharePoint Online site - Go to the Site Contents - Go to the ‘Proxy Users’ list - In the list you can see all the users who have proxies assigned.
Adding a new Proxy
- Go to the ‘Proxy Users’ list
- Click '+ Add new item'
- Select a user and choose their proxy
- Add an expiry date to the proxy assignment. On this date, the proxy will be removed
- Click Save
Editing a Proxy
- Go to the ‘Proxy Users’ list
- Select the line item that you want to edit
- Click Edit in the action bar

Deleting a Proxy
- Go to the ‘Proxy Users’ list
- Select the line item that you want to delete
- Click Delete in the action bar

Proxy Expiration Notifications
To ensure that proxy access does not lapse unintentionally, Brief Connect sends an automated email notification to the delegator (the user who granted access) when a proxy assignment is about to expire.
How it Works
- Daily Check: A process runs every morning at 6:30 AM to check for proxy assignments that are nearing their expiration date.
- Notification Window: The system specifically looks for proxy assignments that are set to expire between 6 and 7 days from the current date.
- Email Notification: If a proxy assignment falls within this window, an email is automatically sent to the delegator, informing them of the pending expiration. This gives them ample time to renew the proxy access if needed.
