This release also includes additional configuration items that encompass the remaining PoC scope: * Business admin, division admin, branch admin, FOI admin permissions, System admin. Please note: Division and Branch admins yet to be configured as awaiting DFFH to provide Division/Branch names * Automatic template updates based on metadata (i.e., template provided by Lisa with 'external ref' field) * Major and Minor reworks workflow pathing * Automation of Due Date fields based on Key Dates for all role types (additional Key Date fields still being created)

  1. Deploy Release 11 for Deploy Brief Connect Office Resources release pipeline in Azure DevOps to the target environment.

Import Latest Configuration File

Config file to import: DFFH Configuration v250829-config.zip

  1. Download the latest Configuration File:
  2. Navigate to the Admin Panel:
  3. Open the Brief Connect application and go to the Admin Panel (https://[WEB_APP_URL]/#/adminPanel)
  4. Ensure you are logged into Brief Connect as a user with system administrative privileges.

    If there is no configuration set, you have to set up Administrator user Id in the Environment variable AdminEntraId in the Azure Function App. The value should be the Object Id of the user in Entra ID (Azure AD).

  5. Click the "Import from ZIP" button.
  6. In the dialog: * Click "Select File & Import". * Select the Configuration File to import attached to these release notes (see step 1.).
  7. The system will process the ZIP file and import the configuration. The list of configurations will refresh, and the imported configuration can then be selected and loaded.
  8. After importing, select the newly imported configuration from the dropdown list.
  9. Click the "Apply" button to apply the imported configuration.
  10. Wait for the confirmation message indicating that the configuration has been successfully applied.
  11. Select Update SharePoint Content Types button from the menu bar. Ensure that active configuration is selected from dropdown first.
  12. The application will now use the newly applied configuration settings.

Clear the Server cache

  1. In the browser console via Developer Tools, run the command window.clearCache().

Reindex the SharePoint Site

  1. Go to Brief Connect SharePoint Site for the target environment
  2. Go to Site settings
  3. Go to Search and offline availability
  4. Click Reindex site

Add EntraID group mappings to TokenMapping table.

Role required: Brief Connect Azure Resources Contributor

  1. Go to Azure portal
  2. Open environment resource group, find Brief Connect Data Storage account, open Storage Browser - Tables
  3. Open 'TokenMapping' table or create it if doesn't exist. Add/Update next values:

Update Document Templates

1. Download and extract: DFFH BC Document Templates.zip
2. Upload the templates to the BC Document Templates SharePoint library in the target environment (e.g.: https://77gfsz.sharepoint.com/sites/BriefConnectDffhDev/Document%20Templates/)

Smoke Tests

Please execute the following smoke tests after completing all deployment steps:

  • Business Admin: To test Business Administration functionality, log into an account that has been added to the Business Administrators group for CABSUB records. As this user, you should be able to access all CABSUB records regardless of sensitivity, have edit access to the record (i.e., can add/edit documents and metadata, and add or remove users from roles) and be able to action tasks assigned to all role types.
  • System Admin: To test System Administration functionality, log into an account that has been added to the BC Administrators group. As this user, you should be able to access all CABSUB/CMIN records regardless of sensitivity, have edit access to the record (i.e., can add/edit documents and metadata, and add or remove users from roles) and be able to action tasks assigned to all role types.
  • FOI Admin: To test FOI Administration functionality, log into an account that has been added to the FOI Administrators group. As this user, you should be able to access all CABSUB/CMIN records regardless of sensitivity, have Read access to these records (i.e., can view documents and metadata, and view roles but not edit).
  • Template metadata automation: When initiating a CMIN record, add the Ministerial Correspondence demo template to your record. Once the record is initiated, view the template to confirm that the Record ID has been input into the corresponding field in the template.
  • Major and Minor reworks: When testing record workflow paths, confirm that Major and Minor reworks are included as optional tasks in the workflow when returning the record from Reviewers and QAO's.
  • Automation of Due Dates: For CMIN records, confirm that the user can no longer fill in Due Dates in the initiation process, and that Key Dates are automatically populated to the specified requirements once the record has been created. Due Dates for record tasks should correspond with the automatically populated Key Dates.
