Resolve record provisioning and migration health issues
Use this guide when Admin Health reports record provisioning, SharePoint library, record counter, or migration health issues after deployment or upgrade.
Check Admin Health
- Open the Brief Connect Admin Panel.
- Open Admin Health.
- Review each failed check.
- Record the check name, affected record type, affected record ID, and error message.
Resolve SharePoint provisioning issues
- Check whether the affected SharePoint document library exists.
- Confirm the library name matches the current record type library allocation model, such as
TYPE-0001. - Confirm the Brief Connect application identity has access to the SharePoint site and library.
- Use the SharePoint provisioning retry action in Admin Health if it is available.
- Re-run the health check.
Resolve record counter issues
- Open Admin Health and review record counter failures.
- Confirm the affected record type has a configured prefix.
- Confirm new record IDs follow the expected
PREFIX-YYMM#####format. - Escalate to the Brief Connect team if counters are missing, duplicated, or lower than existing record IDs.
Resolve SharePoint library health issues
- Review the affected record type and library in Admin Health.
- Confirm the library has not exceeded the supported record allocation for that library.
- Confirm new records are assigned to an available library for the record type.
- Escalate to the Brief Connect team if the library allocation is missing or incorrect.
Resolve migration health issues
- Confirm the target operational data store is MongoDB Atlas or Azure DocumentDB.
- Confirm legacy Azure Table Storage operational data, SharePoint Search-backed operational data, and old Cosmos DB paths are not configured for current operational data.
- Review migration logs in the deployment pipeline and application logs.
- Re-run the relevant migration or retry action only after the cause of the failure is understood.
- Re-run Admin Health after the migration completes.
When to escalate
Escalate to the Brief Connect team if:
- A migration has partially completed.
- Record counters do not align with existing record IDs.
- A SharePoint library allocation is missing or points to the wrong library.
- New records cannot be created after retrying provisioning.
